Email Verification

Sender Email Verification Process

To ensure that the sender email belongs to you or your organization, LeadsWithDemos uses a verification process. Only verified emails can be used as senders, maintaining your reputation and maximizing delivery rates. The verification includes:

New Sender with a Free Email Domain

When you add a new sender in LeadsWithDemos using a free email domain, such as Gmail, the system will send a verification link to the provided email address. To complete the setup, you need to go to your email inbox, find the verification email, and click the link to confirm that you are the rightful owner of the address. After you click the verification link, it can take up to 10 minutes for LeadsWithDemos to update the sender status.

When verification is successful, you’ll see a green icon and a message indicating the sender is verified. If you see a red icon and a message (email is not verified) instead, it means the email hasn’t been verified yet; just wait a little longer, and the system will automatically check and update the status once the email is confirmed. This process ensures that only legitimate, accessible email addresses are used as senders, improving deliverability and security for your automated emails.

New Sender with a Custom Email Domain

When adding a new sender with a custom email domain in LeadsWithDemos, the verification process is designed to ensure ownership and authenticity of the domain before you can use it as a sender for your automated emails. Unlike verifying a free domain email (where you simply confirm via an email link), custom domain verification involves DNS authentication.

After you create the sender profile, LeadsWithDemos provides you with a set of DNS CNAME records. You must copy these records and publish them in your domain provider’s DNS settings. This step proves that you own the domain and authorizes LeadsWithDemos to send emails on your behalf. The verification process can take up to 72 hours, depending on how quickly your domain provider updates DNS records.

Once verification is complete, you’ll see a green icon and a confirmation message in the platform, indicating that the custom domain is now verified and ready to use as an email sender. If a red icon and an “email not verified” message appear, it means the process is still pending—be sure to double check the DNS values and allow more time for DNS propagation.

This approach guarantees that all outgoing emails using your custom domain meet authentication standards, improves deliverability, and presents a more professional and recognizable sender identity to your subscribers.

New Sender with a Verified Custom Email Domain

When you add a new sender in LeadsWithDemos using a custom email domain that has already been verified within the platform, the process is fast and efficient. Since the domain ownership has been previously confirmed, you can add more sender email addresses under the same domain without repeating the DNS verification step.

After you enter the sender details and submit, LeadsWithDemos will automatically recognize the verified domain—usually within 10 minutes. Once confirmed, a green verification icon will appear next to the sender, indicating that the address is verified and ready to use.

If you still see a red icon and a “not verified” message, this means that the verification is still being processed; simply wait a bit longer while the platform completes the check.
