FAQs
Can I use Automated Journeys for a one-off newsletter?
Yes, you can use Automated Journeys in LeadsWithDemos to send a one-off newsletter. Here’s how it works:
- You can create an Automated Journey with a single “Send an Email” step. This step allows you to deliver a targeted email to every subscriber who reaches this point in your automated journey, which works perfectly for a one-off newsletter.
- When setting up your journey, you can select which automated email template will be sent. This can be a unique, one-time email (your newsletter), and you can enroll your audience based on a specific condition, list, or trigger.
- If you want to draft the content dynamically for each recipient, use the “AI Email Writer” step before the “Send an Email” step. However, for a one-off newsletter with static content, you can use just the “Send an Email” step without the AI Email Writer.
There is flexibility to use the journey builder to create workflows for repeated campaigns or simple one-time sends. Make sure the automated journey’s trigger and enrollment setup matches the audience and timing for your one-off newsletter.
This approach gives you full control to use Automated Journeys for either ongoing campaigns or single-send newsletters.
Do I need profile data to start an Automated Journey?
You do not need detailed profile data to start an Automated Journey in LeadsWithDemos. The only requirement is that you set up trigger enrollment criteria based on audience lists or segments. This means that as long as a subscriber meets the enrollment conditions you define such as being a member of a specific audience list, they can enter the journey. You can add more detailed filters or personalization if profile data is available, but it is not mandatory to begin.
You set up the journey’s entry point with basic criteria in the “Trigger enrollment for leads” step, which can be as simple as “is member of list.” Further profile data can be used later in the journey for more advanced segmentation or personalization, but it’s not a prerequisite to start the automation.
How are AI-drafted emails sent within an Automated Journey?
AI-drafted emails in an Automated Journey are sent using a two-step process:
- AI Email Writer Step: Add this step to your journey to have your chosen AI Assistant (such as “AI Email Writer”) generate the subject line and body content based on your configured prompt and any relevant subscriber data fields.
- Send an Email Step: Immediately follow the AI Email Writer step with a “Send an Email” step. Select an automated email template that includes the variables {{ai_email_subject}} and {{ai_email_body}}. When the journey runs, these placeholders in your email template are automatically replaced with the AI-generated subject and body, sending each subscriber a unique, personalized email.
Summary steps:
- Add AI Email Writer step → select/setup your AI Assistant with prompts and optional data fields.
- Add Send an Email step → select an email template with {{ai_email_subject}} and {{ai_email_body}}.
- Email is sent when the journey runs, with content dynamically drafted by AI for each recipient.
You can preview and test the AI output before activating the journey.
Can I prevent people from re-entering the same Automated Journey?
Yes, you can prevent people from re-entering the same Automated Journey in LeadsWithDemos. During the setup of your journey, in the “Trigger enrollment for leads” step, there is an option labeled “Allow leads to join more than once.” By default, subscribers are prevented from re-entering unless you enable this setting.
If you want to ensure each subscriber can only join the journey a single time, simply leave this option disabled. This is particularly useful for one-time campaigns, onboarding sequences, and any journey where repeat enrollment is not desirable.
This allows you to tightly control journey participation according to your email marketing strategy.
Can I limit emails to be sent during business hours only?
Yes, you can limit emails to be sent during business hours only in LeadsWithDemos Automated Journeys. When configuring the “Send an Email” step, you have the option to enable “Send emails during business hours only.” With this setting, you can:
- Select business days (e.g., Mon–Fri)
- Define the start and end times for emails to be sent on those days
- Set the appropriate timezone to ensure delivery aligns with your recipients’ local time
If this option is not enabled, emails will be sent as soon as the subscriber reaches the step in the journey.
What happens if someone has already completed an Automated Journey goal?
If someone has already completed an Automated Journey goal, their re-enrollment behavior depends on your journey’s enrollment settings:
- By default, subscribers who have completed a journey will not be automatically re-enrolled unless you specifically enable the option “Allow leads to join more than once” during the trigger/enrollment configuration. If this is not enabled, completing the journey acts as an endpoint, and they will not re-enter the workflow.
- You can filter and segment subscribers by whether they “Has Completed” an Automated Journey, so you can target them with new journeys or exclude them from future automations as needed.
When you publish a journey, you can decide whether to immediately enroll existing subscribers who meet the criteria or only enroll those who meet the criteria from that point forward. This also affects subscribers’ experience if they’ve already attained the journey’s goal before enrollment.
For managing and filtering based on journey status (such as completion), use the relevant segments and filters like “Has Completed” and “Has Been Enrolled” to handle these cases in your communications and future automations.
How can I test an Automated Journey before turning it on?
To test an Automated Journey before turning it on in LeadsWithDemos, use the built-in “Test Journey” feature in the journey builder:
- Click the “Test Journey” button at the top of the journey builder. This opens a test panel on the side.
- Select a lead (subscriber) from the dropdown provided. This allows you to simulate the journey using real subscriber data.
- Optionally, enable “Skip trigger criteria” to start the test from the first step regardless of the enrollment filters.
- Click “Start test” to begin a simulation where LeadsWithDemos will walk through your entire automated journey step-by-step, showing what would happen for the chosen lead.
- As each step is processed, a detailed log on the side will show timestamps and action outcomes. When the test completes successfully, you’ll receive a summary and see if any errors occurred.
- You can rerun tests with different leads and configurations as needed, so you’re confident every step works as intended before activating the journey.
This comprehensive test process ensures the journey functions as desired before it goes live.
How many branches can I use in an Automated Journey?
You can use up to 10 branches (paths) in an Automated Journey within LeadsWithDemos. When you add a Paths step, you start with two branches by default (Path A and Fallback), and you can add additional paths (B, C, etc.) up to a maximum of 10.
This allows you to segment your audience and create granular, dynamic journeys based on different conditions. Each path can be configured with unique criteria, and the Fallback path will catch any subscribers who do not match the earlier path conditions.
